Setup guide

Everything from install to your first verified registration, in the order the dashboard checklist follows. Most stores finish in about 15 minutes.

1. Start with an industry preset

On the dashboard, choose a preset (Electronics, Bikes & E-mobility, Watches & Jewelry, Instruments or Generic) and click Start with this preset. One click creates a sensible default warranty policy and an active registration form. Running a preset again is safe and never duplicates anything.

2. Warranty policy

Policies define coverage: duration, whether coverage starts at purchase or at registration, which products it applies to (all products or a selection), and the terms text printed on the certificate. You can keep several policies, for example 2 years for frames and 6 months for accessories.

3. Registration form

Forms collect the registration. Each form is linked to a policy and has a serial rule:

  • None — no serial field.
  • Record only — the serial is stored, not checked.
  • Allow unknown, flagged — checked against imported serials; unknown values are accepted and flagged for review.
  • Require match — only serials you imported are accepted. Import serials before choosing this.

Add custom questions (place of purchase, model, retailer) and choose whether an order number is required. The Free plan allows one active form; Pro and Parts allow unlimited forms.

4. Serial numbers (optional)

Serials accepts a CSV with one serial per row, grouped into a batch tied to a product. Each serial can be registered once; later attempts are rejected as duplicates. Search any serial to see its status and the registration that owns it. Free includes 100 serials; Pro and Parts are unlimited.

5. Share the form

Every form has three ways to reach customers:

  • Link on the Warrantix domain — works even while your store is password-protected. Put it in packaging inserts, manuals and post-purchase emails.
  • QR code — download the PNG from the form list and print it on the product, the box or a warranty card.
  • Thank-you page block — in the checkout editor add the Warrantix “Register product” block to the Thank-you and Order status pages and paste the form URL. Buyers can register right after checkout.

Test it yourself: open the link in a private window, register with a real order number and email, and check the certificate email.

6. Verification and certificates

On submit, Warrantix looks up the order, checks the email matches, rejects cancelled orders, and confirms the selected product is on the order. If a serial is provided it is validated against your list and against the selected product. Successful registrations receive a branded PDF certificate by email with a QR code that opens a public verification page. Tampered or unknown codes return “not found”.

Branding lives under Settings → Branding: logo URL, brand color, sender display name and reply-to address.

7. Claims

Customers open a claim from their certificate page, choose a category, describe the issue and attach photos. You receive an alert email; the claim appears under Claims. Move it through Start review → Approve or Deny → Mark resolved. Each status change emails the customer with your note. One open claim per registration is enforced.

8. Replacement parts (Parts plan)

Under Parts, map each product to the spare-part variants that fit it and a default quantity. On an approved claim, tick the parts to send and click Create replacement draft order. Warrantix creates a 100% discounted draft order tagged warrantix-replacement with the claim reference in the note; open it in Shopify admin, confirm the address and complete it through your usual fulfillment. A claim can only ever hold one active replacement order.

9. GPSR traceability export

Registrations → Export CSV produces a traceability file with product, serial, batch, order reference, customer and dates for every registration, ready for an EU authority request or a recall notice.

Product safety recalls

Recalls → New recall drafts a notice in the structure of GPSR (EU) 2023/988 Article 36: product pictures, name, brand, serial or batch numbers and where to find them, when and where it was sold, the hazard, what consumers should do, the remedies and a free phone number or online contact. The headline “Product safety recall”, the instruction to stop using the product immediately, that remedies are free of charge and the request to share the notice are added in every language. Offer at least two of repair, replacement and refund (Article 37), or explain why only one is possible. Wording that downplays the risk (“voluntary”, “precautionary”, “no accidents reported”) blocks publishing.

Define who is affected by product, serial ranges (one per line,FIRST..LAST), a serial list and a purchase date window, then check the live preview of matched registrations, imported serials nobody has registered yet, and customers you can email. Publishing (Pro or Parts) puts the notice online with a serial lookup, a remedy choice and a safety-only contact signup. Notify emails every affected registrant and safety contact once, about one email per second; run it again later and only new matches are emailed. Download the notification log as CSV to show an authority who was told and when. Registration forms always offer an optional email for safety notices only (Article 35(2)).

10. Expiry reminders

Under Settings → Email, choose 14, 30, 60 or 90 days before coverage ends. Each active registration with an end date gets one branded reminder linking to the certificate and the claim form.

11. Klaviyo

In Klaviyo, create a private API key (Settings → API keys) with the Events write scope and paste it under Settings → Integrations. Warrantix then sends three events to the customer profile:

  • Warranty Registered — after every successful registration.
  • Warranty Claim Submitted — when a customer files a claim.
  • Warranty Claim Updated — on every claim status change.

Properties include product title and ID, order number, warranty start and end, certificate URL, and for claims the reference, category and status. Build flows on these metrics (for example a review request 30 days after registration). Delivery status is shown on the settings page; clear the key to stop syncing.

12. Billing

Billing shows the current plan and monthly usage. Free: 30 registrations per month (soft limit — customers are never blocked; you get one email when it is exceeded), 1 form, 100 serials. All warranty features, including replacement part orders, are included on Free. Pro $15/month and Parts $49/month have unlimited usage. Both paid plans include a 14-day free trial and are billed through Shopify.

13. Privacy requests and uninstall

Shopify customer data requests and redactions are handled automatically and listed under Settings → Privacy requests. After uninstall, all shop data and uploaded claim photos are deleted when Shopify sends the shop-redact webhook.
